The Shared Resources Feature helps manage bookings for non-room facilities like meeting rooms, conference halls, tennis courts, spa appointments, and more. It provides a simple and organized way to schedule and track shared resources, preventing double bookings and making operations smoother.

Search & Filtering

To make managing shared resources easy, the system includes a search and filter tool. Users can search by guest name, reservation number, or resource name to quickly find a booking.

Filtering options allow users to view bookings by day, week, or month, making it easier to see the overall schedule. Users can also filter by specific shared resources, like checking the availability of a meeting room or tennis court. The list view shows all bookings in a simple format, including guest names, reservation times, and special requests. This makes it quick and easy to manage reservations

Reserving a Shared Resource

Since shared resources have limited availability, this feature helps users secure a time slot in advance. The system checks availability in real time, so double bookings won’t happen. Users can choose the start and end time for their booking, ensuring they get the facility when they need it.

Bookings can be made for hotel guests or walk-in customers. If two people try to book the same resource at the same time, the system will alert users and suggest alternative times. This prevents confusion and ensures guests get a smooth booking experience.

Calendar View

The Calendar View makes it easy to see all bookings for shared resources, like meeting rooms, spa services, or sports facilities. Users can filter the calendar to focus on a specific resource and check its availability.

Users can reschedule bookings by simply dragging them to a new date and time. This makes it quick and easy to adjust reservations without extra steps.

Each booking also has a “Go to Reservation button”, which lets users view, edit, move, or cancel a reservation in one click. This keeps everything organized and helps prevent scheduling conflicts.

Connecting with Guest Reservations

One of the most useful parts of this feature is its connection to the guest’s main reservation. This means that all room and facility bookings are linked in one place, making it easier to manage a guest’s entire stay.

Any charges for shared resources are automatically added to the guest’s bill, ensuring smooth check-out and correct invoicing. Hotel staff—such as receptionists, concierge teams, and service providers—can access the same booking details, preventing miscommunication and improving guest service.
