The Customers feature is designed to help hotel staff efficiently manage all customer and company profiles in a centralized system. By storing customer information in one place, this feature ensures that staff can easily access, update, and maintain accurate records. Whether you are managing individual guest profiles or corporate accounts, the system enables seamless organization of personal details, stay history, preferences, and more.
Search & Filtering
Finding a customer’s profile is simple and quick with the Search & Filtering feature. You can search by a variety of criteria such as name, company, phone number, and email address. This powerful search function makes it easy to locate specific profiles, saving time and improving efficiency. Additionally, you can filter results by Customer Type—either Person or Company—helping you sort through different categories of guests or corporate clients.
This flexibility allows staff to quickly narrow down results based on the type of customer you’re looking for, making the process of managing customer profiles straightforward.
Advanced Filter
Beyond the basic search, the Advanced Filter lets you narrow the customer list by more specific criteria — Customer Since, Latest Reservation, Tags, Balance, Total Revenue, Country, and Returning Customer. This makes it easy to find the guests that matter most, such as high-spending customers, profiles with an outstanding balance, or those who have stayed with you before.
Combining these filters with the search bar gives staff a fast way to build targeted guest lists for follow-ups, marketing, or reporting, without digging through every profile manually.
Customer Profile Summary
Each row in the customer list gives a quick snapshot of the relationship, including Tags (such as VIP, Group, or Government), Number of Reservations, Latest Reservation date, Total Revenue, and current Balance. This lets staff see a guest’s history and standing at a glance, without opening their full profile.
Having this information visible upfront helps staff prioritise what needs attention, such as collecting an outstanding balance or recognising a returning high-value guest.
Adding a Customer
When adding a new customer, you can capture essential details such as First Name, Last Name, Identification Type, and contact information like email address and phone number. You can also add specific details like address, preferred room type, and even personal notes related to the guest’s preferences or past stays. This ensures that each guest’s profile is thorough and ready to provide a personalized experience during their stay.
Creating new profiles with ease ensures that no guest information is missed, helping to deliver exceptional service and maintain an organized database.
Merging Customers
Sometimes, duplicate customer profiles can be created by mistake. The Merging Customers allows you to merge two profiles into one, ensuring that customer data remains accurate and streamlined. Whether the duplicate records were created under different names, contact details, or other minor discrepancies, this feature helps consolidate all information into a single profile.
This is especially useful when a guest may have multiple profiles for the same visit or company, preventing confusion and providing a better customer experience. After merging, you’ll retain the correct information and keep your system organized, reducing redundancy and increasing accuracy.
With the Customers feature, hotel staff can easily manage a wide range of customer and company profiles, track important information, and keep everything well-organized. From quick search and filtering to adding or merging profiles, this feature saves time and ensures that customer data is always up-to-date.
Exporting Customer Data
The Export button lets you download the customer list for use outside the system, such as for reporting or mailing lists. The Refresh button reloads the list to show the latest changes, which is useful after adding or merging profiles.
