Ledger view

The Ledger view provides a unified chronological list of all financial transactions — both charges and payments — for the selected date range. Each row is either a debit (charge) or a credit (payment), giving a complete picture of the financial activity across all reservations.

• Search:
  • Use the search field to quickly find specific transactions by guest name, reservation ID, or description.
• Group By:
  • Organize ledger entries by different criteria such as date, reservation, billing group, type, payment method, or transaction code category. Grouping helps identify patterns and makes it easier to review related transactions together.
• Advanced Filters:
  • Date Range: Filter transactions by date. This is always required.
  • Charge Type: Filter by the type of charge, such as room charges or extras.
  • Extras: Filter by a specific extra or service charged to the guest.
  • Payment Type: Filter by the type of payment received.
  • Payment Method: Filter by how the guest paid, such as cash or card.
  • Balance Status: Filter to show only reservations with outstanding balances, credits, or fully settled accounts.
  • Invoice Status: Filter by whether a transaction has been invoiced.
  • Voided Status: Filter to show only voided or only active transactions.
  • Reservation Status: Filter by the current status of the associated reservation.
  • Created By: Filter by the staff member who created the transaction.
• Debit & Credit Columns:
  • Charges appear in the Debit column, while payments appear in the Credit column. This dual-column layout makes it easy to distinguish between money owed and money received at a glance.
• Transaction Types:
  • Each entry shows its type: Room and Extra for charges, or Payment, Deposit, and Refund for payments. The description column shows the charge description for debits or the payment method for credits.
